Main responsibilities

  • In consultation with Mr. Minnick, plan and coordinate the annual band trip, typically in the Spring.
  • Make arrangements as required with festival organizers and/or tour company.
  • Making reservations with bus company.
  • Make arrangements for meals, if required.
  • Determine budget for the trip and cost per participant, for approval by Mr. Minnick and the Booster Board.
  • Liaise with Volunteer Coordinator to recruit chaperones.
  • Liaise with Concert Attire Coordinator to determine requirements for packing of formal attire.
  • Arrange chaperone groups that meet with Mr. Minnick’s approval.
  • Arrange hotel room assignments; students can sign up for their room group.
  • Assign students to buses; students sign up according to seniority.
  • Set up and manage mandatory trip meeting for parents and mandatory meeting for chaperones.
  • Chaperone the trip.
  • Liaise with Secretary and First Aid/Medical Assistant to collate all the required forms for field trips, overnight field trips, medical information etc.

Time required per week/per month and during the day/evening or weekend

  • Depends on length, location and details of trip but typically several hours to make reservations and confirm all the details.
  • The biggest challenge is collating the forms, chasing late returns and ensuring all details are completed on the forms

Key skills required

  • Organization is the key.
  • A thoughtful itinerary that will appeal to all students is absolutely necessary and Mr. Minnick has a lot of experience at this and will be a great resource and guide!

Other information

  • Once the trip begins, things change and you need to be flexible.
  • On overnight trips, daily chaperone meetings are essential to ensure everyone is on the same page.
